Position Title: Administrative Assistant
Department: Administration
Reports To: Office Manager / Operations Manager
Employment Type: Full-time
Position Summary
The Administrative Assistant provides day-to-day support to the office by performing administrative duties, basic HR-related tasks, inventory management, and coordinating office operations. This role ensures smooth workflow, timely documentation, and efficient office processes.
Key Responsibilities1. Administrative & Office Support
- Manage daily office operations, supplies, and cleanliness.
- Handle phone calls, emails, inquiries, and correspondence.
- Organize and maintain physical and digital files.
- Schedule meetings, appointments, and prepare basic reports.
- Assist with office documentation, scanning, printing, and encoding.
- Support management in preparing letters, minutes of meetings, and forms.
2. HR-Related Tasks (Minimal)
- Assist in posting job ads, screening initial applicants, and scheduling interviews.
- Maintain employee records and update files (attendance, 201 files, memos).
- Assist in onboarding processes (orientation, forms, ID requests).
- Coordinate with HR/Accounting for timesheets and basic payroll documentation.
- Help ensure compliance with basic company policies and HR guidelines.
3. Inventory & Supplies Management
- Monitor and record office and project site supplies (forms, tools, materials).
- Assist in receiving deliveries and checking item completeness.
- Update inventory logs and submit weekly/monthly inventory reports.
- Coordinate replenishment and purchasing requests with suppliers or purchasing officer.
- Safekeep and organize stockroom items.
4. Coordination & Support
- Liaise with departments for administrative requirements.
- Help coordinate maintenance, repairs, and office improvements.
- Support in preparing documents needed for permits, deliveries, or operations.
- Assist management in special tasks and projects as needed.
Qualifications
- Bachelor's degree preferred (Business Administration, HR, or related courses).
- With at least 1 year of administrative experience (construction or service industry is an advantage but not required).
- Strong communication and organizational skills.
- Proficient in MS Office (Word, Excel, PowerPoint) and Google Workspace.
- Detail-oriented, reliable, and able to prioritize tasks.
- Willing to learn basic HR processes and inventory systems.
