Strategic Executive Assistant

Overview
We're looking for a high-performing, solutions-driven Executive Assistant who goes far beyond traditional VAtasks. This role is for someone who anticipates needs, solves problems before they reach the CEO, and takes full ownership of outcomes. You'll be expected to reduce executive workload—not just manage it—and bring clarity, structure, and momentum to complex, fast-moving priorities.
This is not a passive support role. You'll be trusted to lead tasks independently, challenge inefficiencies, and present solutions with confidence. You must be resilient under pressure, committed to continuous improvement, and open to direct, constructive feedback without defensiveness.
Key Responsibilities
- Partner directly with the CEO to translate high-level goals into actionable plans and track progress across departments.
- Act as a trusted liaison between the CEO and internal/external stakeholders ensuring professionalism, clarity, and confidentiality in every interaction.
- Serve as a gatekeeper and sounding board filtering information, prioritizing demands, and ensuring the CEO's focus is directed to what matters most.
- Proactively identify bottlenecks, inefficiencies, and risks—and propose actionable solutions
- Own and drive executive tasks with minimal instruction, ensuring timely and high-quality delivery
- Conduct strategic research and synthesize insights into decision-ready formats
- Prepare executive briefs, summaries, and recommendations for internal and external stakeholders
- Communicate with clarity and confidence across teams, vendors, and partners
- Receive and integrate feedback with maturity and a growth mindset
- Track progress, flag issues early, and maintain accountability across multiple work streams
- Maintain strict confidentiality and executive-level professionalism at all times
Required Skills
- Strategic thinking with strong problem-solving instincts
- Exceptional written and verbal communication
- High emotional resilience and self-motivation
- Ability to work independently, prioritize effectively, and manage ambiguity
- Comfortable with performance benchmarking and peer comparison
- Proficiency in productivity and collaboration tools (Google Workspace, Notion, Slack, etc.)
