The Purchasing Assistant supports the purchasing department by handling administrative tasks, processing purchase orders, communicating with vendors, tracking shipments, and ensuring the timely and accurate acquisition of materials, supplies, and services. This role helps maintain efficient purchasing operations and contributes to cost-effective sourcing and inventory management.

Key Responsibilities

Procurement Support

  • Assist in the preparation and processing of purchase orders, requisitions, and vendor contracts.
  • Obtain and compare price quotes, terms, and delivery schedules from suppliers.
  • Verify order details, pricing, and delivery requirements before submission.
  • Track and follow up on purchase orders to ensure timely delivery of goods and services.

Vendor Relations

  • Communicate with suppliers and vendors regarding order status, discrepancies, or delays.
  • Maintain and update an approved vendor database.
  • Assist with vendor evaluations and performance tracking.
  • Support the resolution of issues related to invoices, quality, or delivery.

Administrative & Data Management

  • Maintain accurate purchasing records, including purchase orders, invoices, and supplier information.
  • Assist with inventory monitoring and restocking of essential materials.
  • Prepare reports on purchasing activity, cost analysis, and vendor performance.
  • Support audits and compliance with company procurement policies and procedures.

Financial Coordination

  • Process and verify supplier invoices and ensure timely approval for payment.
  • Work with the accounting department to reconcile discrepancies and track expenses.
  • Assist in maintaining budgets for purchasing and materials management.

Qualifications

Education & Experience

  • Bachelor's degree in Business or any related field

Skills & Competencies

  • Strong organizational and time-management skills.
  • Excellent communication and negotiation abilities.
  • Proficiency with Microsoft Office (especially Excel) and purchasing or ERP software (e.g., SAP, Oracle, QuickBooks).
  • Attention to detail and accuracy in data entry and record keeping.
  • Ability to work collaboratively with cross-functional teams.
  • Must be willing to go on FIELD WORK at least 2-3 times a week

Job Type: Full-time

Pay: Php20, Php25,000.00 per month
