Administrative Assistant

Administrative Support:
- Coordinate weekly shift schedules and verify timekeeping for all in-store staff
- Act as point of contact for manpower agency regarding attendance, memos, and incident reports
- Maintain updated and organized files of contracts, permits, and compliance documents
- Prepare reports, memos, and communications required by airport management or the franchisor
- Coordinate the application and renewal of airport access passes for staff
Purchasing & Supply Management:
- Monitor inventory levels of office and store supplies (e.g., packaging, cleaning materials, forms)
- Prepare purchase requests and obtain quotations from accredited suppliers
- Place and track orders, ensuring timely delivery and proper documentation
- Maintain a log of all deliveries and supplier performance
- Verify completeness of deliveries and coordinate with the accounting assistant for invoice processing
- Ensure compliance with procurement policies, and maintain records of purchases
Design & Coordination:
- Create simple layouts and marketing materials for internal or store use (e.g., posters, menus, announcements)
- Assist in coordinating printing or digital content requirements
- Support delivery schedules and assist in coordinating maintenance or repair services
- Serve as liaison for external partners and service providers
- Graduate of Business Administration, Office Management, Marketing, or a related course
- Experience or background in graphic design (e.g., Canva, Adobe Photoshop, Illustrator) is required
- Excellent organizational skills and ability to multitask in a fast-paced environment
- Familiarity with purchasing processes, supplier coordination, and basic inventory monitoring
- Proficient in Microsoft Office (Word, Excel) and digital record systems
- Good interpersonal and communication skills
- Experience in working within an airport environment or with franchised QSRs is an advantage
