CHIEF OBJECTIVES OF THIS POSITION

The Logistics Scheduler is responsible for developing and maintaining delivery, pickup, and

crew schedules to ensure on-time execution of events. Supports event production by

managing the flow of equipment, materials, and resources, while providing proactive

communication with internal teams, vendors, and external stakeholders. Ensures compliance, safety, and quality standards are upheld across all logistics functions.

Scheduling & Coordination

● Develop daily trucking schedules to ensure timely deliveries and pickups.

● Create and distribute weekly work calendars for the drivers.

● Consistently monitor internal communications for updates

● Coordinate logistics with internal departments, vendors, and clients.

Logistics Operations

● Monitor and report on delivery performance and timeliness.

● Maintain proactive oversight of logistics operations, addressing issues before they

escalate.

● Communicate the daily schedule with each scheduled driver with details about their

pick-ups, returns, load-ins, and load-outs.

● Communicate with the warehouse team and drivers about the updates to the schedule.

Maintenance & Compliance

● Ensure compliance with DOT in regard to the required rest periods between long-haul

schedules.

● Coordinate preventative maintenance schedules for trucks.

Quality Control

● Verify that all equipment arrives at event sites on time

● Ensure rented equipment is received and delivered as scheduled.

● Troubleshoot logistics errors or shortfalls, and implement corrective measures.

Administrative & Reporting

● Track hours, overtime, and manage logistics-related expenses.

● Prepare reports on delivery accuracy, timeliness, and cost management.

● Assist in developing and refining workflows to improve efficiency and reduce costs.

● Contribute to department budget monitoring and cost control initiatives.

QUALIFICATIONS:

  • Computer skills required:

o Google Business Suite (Gmail, Meet, Sheets, Docs, Slides);

o Inventory Management Software (Flex Rental Solutions);

o Project Management Software (Asana);

o Communication software (Slack);


• Other skills required:

o Excellent verbal and written communication skills.

o Excellent interpersonal and customer service skills.

o Excellent organizational skills and attention to detail.

o Excellent time management skills with a proven ability to meet deadlines.

o Strong analytical and problem-solving skills.

o Ability to prioritize tasks.

o Familiarity with the New York Tri-State roadways and traffic laws. Including

height and weight restrictions for the area.
