
Administrative Assistant/ Document Controller

Job Description:
- Provide administrative and clerical support to PMO staff and Project Manager/Supervisor.
- Organize and maintain office systems, including filling, scheduling, and communication flows.
- Coordinate meetings, prepare agendas, and take meeting minutes.
- Act as the point of contact for internal and external communications.
- Manage office supplies, requisitions, and petty cash records.
- Maintain staff attendance records and timesheets for project personnel.
- Coordinate with HR on onboarding, leave tracking, and staff movement.
- Establish and maintain a structured document control system for all project-related documents (correspondence, drawings, reports, contracts, etc.)
- Ensure document control procedures comply with project requirements and quality standards.
- Control access to project documents and ensure that authorized personnel can retrieve required information.
Qualifications:
- Graduate of Bachelor's Degree in Office Management/ Information Management or related field.
- Must have at least one year of relevant experience in an administrative or secretarial role/document control.
- With experience working in an engineering or construction-related environment is preferred.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and document formatting.
