About the role

We are seeking an experienced and proactive Executive Assistant to join the team at Malaya Business Insight. This full-time role is based in Manila but will soon be moving to Makati. As the Executive Assistant, you will provide high-level administrative and organizational support to leaders, ensuring the smooth running of day-to-day operations.

What you'll be doing

  1. Manage the executive's calendar, schedule appointments and coordinate meetings
  2. Prepare and proofread correspondence, reports and presentations on behalf of the executive
  3. Organize and maintain the executive's filing systems, both physical and digital
  4. Provide administrative support for travel arrangements, expense reporting and other day-to-day tasks
  5. Act as the main point of contact, handling inquiries and screening communications
  6. Collaborate with other team members to support wider business initiatives and priorities
  7. Undertake ad-hoc projects and duties as required

What we're looking for

  1. Excellent organizational and time management skills, with the ability to prioritize effectively
  2. Strong written and verbal communication skills, with attention to detail
  3. Proficient in using Microsoft Office suite, including advanced Excel skills
  4. Proactive, discreet and able to handle confidential information with the utmost care
  5. Collaborative approach with the ability to work effectively with all levels of the organization
