Administrative Support

  • Scheduling and Calendar Management: Arrange meetings, appointments, and events, ensuring that the executive's calendar is organized and up-to-date.
  • Email and Communication Management: Monitor and manage emails, handle correspondence, and prioritize communication to ensure timely responses.
  • Travel Arrangements: Organize travel itineraries, book flights, accommodations, transportation, and ensure all logistics are managed for business trips.
  • Document Preparation: Draft and proofread documents, presentations, reports, and other materials, ensuring they are accurate and professionally presented.
  • Meeting Preparation and Coordination: Prepare agendas, materials, and presentations for meetings. Take meeting minutes and follow up on action items.

Financial and Budgeting Assistance

  • Expense Reports: Prepare and track expense reports, process invoices, and manage budget-related tasks for the executive.
  • Reimbursement Processing: Track and manage travel, meal, and other reimbursements for the executive team.

Confidentiality and Discretion

  • Handling Sensitive Information: Maintain confidentiality and exercise discretion when dealing with sensitive company, financial, or personnel information

General Office and Personal Support

  • Event Planning: Assist in organizing corporate events, team-building activities, or special company functions.

Job qualifications:

  • Bachelor's degree in Business Administration, Office Administration, or any related field (preferred but not always required).
  • At least 1–2 years of experience in administrative or clerical work.
  • Proficient in MS Office applications (Word, Excel, PowerPoint) and email management tools.
  • Strong organizational and time-management skills with the ability to multitask.
  • Excellent verbal and written communication skills.
  • Detail-oriented, efficient, and able to work with minimal supervision.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong interpersonal skills and a customer-service mindset.
  • Ability to coordinate schedules, prepare reports, and handle office documentation.
  • Can work onsite and within set business hours.
