
Senior Bookkeeping Associate – Property Management Accounting

We are a dynamic property management company overseeing three diverse property portfolios. Our focus is on delivering accurate, timely, and compliant financial reporting to property owners and stakeholders. We leverage AppFolio to manage complex transactions, reconciliations, and compliance requirements.
We are looking for a Senior Bookkeeping Associate with strong expertise in AppFolio and property management accounting. This role involves handling advanced bookkeeping scenarios across three property portfolios, including intercompany transactions, multi-bank reconciliations, shared expense allocations, and full-cycle vendor and owner 1099 processing.
KEY RESPONSIBILITIES
Portfolio Management:
- Handle all bookkeeping and accounting functions for three property portfolios within AppFolio.
- Maintain accurate ledgers, bank reconciliations, and intercompany balances.
Intercompany Transactions:
- Record and reconcile intercompany expenses and reimbursements between related entities.
- Maintain balanced intercompany payable/receivable accounts.
Bank Transfers & Reconciliation:
- Post wire transfers and inter-account movements promptly in AppFolio.
- Perform three-way bank reconciliations, identify discrepancies, and resolve mismatches.
Vendor & Owner 1099 Compliance:
- Prepare and file all vendor and owner 1099-NEC and 1099-MISC forms in compliance with IRS and state regulations.
- Collect, verify, and maintain W-9 forms and tax identification information.
- Handle backup withholding procedures when necessary.
Expense Allocation:
- Allocate shared expenses across multiple properties and entities.
- Ensure fair and accurate billing and reimbursement processes.
Process Improvement:
- Propose and implement best practices to prevent posting errors and improve transaction accuracy.
- Utilize diagnostic reports in AppFolio to ensure accuracy and completeness of financial data.
QUALIFICATIONS
Experience:
- Minimum 3–5 years in property management bookkeeping or accounting.
- Proven hands-on experience with AppFolio Property Manager, preferably managing multiple portfolios.
Skills:
- Strong understanding of property management accounting principles.
- Proficiency in bank reconciliations, journal entries, intercompany accounting, and multi-portfolio management.
- Knowledge of IRS 1099 reporting requirements and deadlines.
- Advanced attention to detail and organizational skills.
Education:
- Bachelor's degree in Accounting, Finance, or related field preferred; relevant work experience considered.
Other:
- Ability to work independently and manage multiple priorities.
- Strong communication skills for liaising with owners, vendors, and internal teams.
