ROLE SUMMARY

Our client is seeking a detail-oriented and highly organized Executive Support Specialist with a strong background in accounting to support a small business owner in a fast-paced and dynamic environment. This individual will play a dual role—providing high-level executive administrative support while also owning critical accounting functions, particularly accounts payable and receivable management. This role will be a trusted partner who ensures the executive's time and financial workflows are streamlined, documented, and executed with precision.

WORK SCHEDULE: 8:00 AM – 5:00 PM Mountain Daylight Time (10:00 PM – 7:00 AM Philippine Standard Time), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

ESSENTIAL FUNCTIONS:

  • Perform the following accounting/finance support functions:
  • Track, reconcile, and follow up on incoming payments (accounts receivable)
  • Maintain financial records, track expense reports, and prepare basic reports
  • Work with internal accounting systems and software to ensure timely and accurate reporting
  • Collaborate with the owner to ensure data integrity and compliance
  • Perform the following executive support functions:
  • Coordinate travel, licensing, and research
  • Provide general administrative support and project coordination
  • Support with personal executive tasks as needed

QUALIFICATIONS:

  • Bachelor's degree in Accounting, Business Administration, or related field is a plus
  • 2+ years of accounting experience
  • Executive assistant experience highly preferable but not required
  • Experience working with international teams or offshore environments is preferred
  • Strong knowledge of QuickBooks
  • Proficient in Microsoft Office
  • Strong English fluency (spoken and written); neutral accent preferred
  • Exceptional organizational and communication skills
  • High attention to detail and ability to maintain confidentiality
  • Proven ability to multitask and work independently in a remote environment
  • Proactive problem-solver with a "no task too small" attitude
  • Reliable, punctual, and committed to maintaining high standards of professionalism
