Job Title: Virtual Assistant – Customer Service & Scheduling
Salary: ₱35,000/month
Work Setup: Remote (Night Shift – Aligned with Canadian Business Hours)
Job Overview
We are looking for a reliable and detail-oriented Virtual Assistant to provide exceptional customer service, scheduling coordination, and administrative support. The ideal candidate will manage client inquiries, process payments, and support daily operations to ensure smooth and efficient business flow.
Key Responsibilities
Customer Service & Scheduling
- Answer inbound calls and respond to client inquiries promptly and professionally.
- Qualify clients based on service area and type of request.
- Book new and returning clients into the schedule using internal systems.
- Coordinate with technicians regarding appointments, access details, and updates.
- Handle rescheduling, cancellations, and confirmations as needed.
- Conduct post-service follow-ups to collect feedback or reviews.
Payment Collection & Tracking
- Collect and process client payments through approved methods (e.g., e-pay, Clover).
- Follow up on pending or failed payments.
- Record and reconcile payments within systems such as Housecall Pro.
- Generate and send invoices accurately and on time.
- Maintain a detailed payment tracking log for accurate reporting.
Requests Management
- Monitor all incoming service requests via phone, email, and web forms.
- Log, categorize, and route requests to the appropriate technician or department.
- Ensure completion of requests and confirm client satisfaction.
Administrative Support
- Manage and organize company emails, including purchase orders and reports.
- Maintain contact lists and call logs in RingCentral.
- Update and manage sales/service pipelines with client and lead status.
- Follow up with leads that have not completed bookings to encourage conversions.
- Assist in compiling client and job documentation.
Other Support
- Perform additional administrative, coordination, or support duties as directed.
- Collaborate closely with the client to ensure alignment on business priorities.
Qualifications
- Proven experience as a Virtual Assistant or in a Customer Service or Scheduling role.
- Excellent written and verbal communication skills in English.
- Strong organizational and time management skills.
- Familiarity with tools such as Housecall Pro, RingCentral, and Clover (or similar).
- Ability to multitask and work under minimal supervision.
- Tech-savvy and comfortable learning new systems quickly.
- Willing to work on a night shift aligned with EST time zone.
