Systems & Automation Specialist (HubSpot & Business Tech)

We're looking for a Systems & Automation Specialist to join our growing team and help us take our operations to the next level. If you love making systems talk to each other, streamlining processes, and building automations that save teams hours each week — this role is for you.

We are a fast-growing healthcare business with both clinic and mobile operations, using innovation to impact thousands of lives. Our team thrives on efficiency, collaboration, and continuous improvement — and now we need someone to own our tech stack and help us scale.

What You'll Do

  • HubSpot Optimisation: audit, streamline, and automate our CRM (pipelines, workflows, reporting, dashboards).
  • Tech & Systems Management: review and manage our full tech stack (HubSpot, Xero, NordPass, scheduling tools, etc.), connecting and simplifying wherever possible.
  • Automation Build-Out: design and implement workflows that cut manual work (Zapier, native integrations, APIs).
  • Data & Reporting: create clear dashboards and reporting structures to support decision-making.
  • Process Documentation: standardise and document systems into SOPs to ensure smooth scaling.
  • Cross-Team Support: train and support staff on new tools, ensuring adoption and efficiency.

What We're Looking For

  • Proven experience with HubSpot CRM (automation, reporting, workflows).
  • Experience with systems integration tools (e.g. Zapier, Make, APIs).
  • Strong understanding of business operations and process improvement.
  • Analytical mindset with excellent problem-solving skills.
  • Clear communicator who can translate tech into simple steps for the team.
  • Bonus: experience in healthcare or service-based businesses.
