JOB SUMMARY:
Operations Specialist will assist the President in overseeing the day-to-day operational and administrative functions of multiple companies and businesses. The role ensures smooth coordination among departments, compliance with company policies, and timely completion of operational requirements such as business permits, documentation, and reports.
DUTIES & RESPONSIBILITIES:
A. ADMINISTRATIVE AND OPERATIONAL SUPPORT
- Provide daily administrative and operational assistance to the President.
- Process documentary requirements for new business location for various brands such as business permits, licenses, and other regulatory requirements.
- Coordinate and monitor the renewal of existing business locations.
- Act as support to the daily operations of department and report updates to the Operations Manager.
- Collaborate and coordinate with various stakeholders.
- Prepare and organize reports, presentations, spreadsheets, correspondence, and other business documents.
- Ensure timely completion of company deliverables or follow-up actions.
B. DOCUMENTATION AND RECORD MANAGEMENT
- Maintain accurate and updated filing systems (both physical and digital) for company records.
- Ensure proper safekeeping, organization, and accessibility of important operational documents.
- Handle and record all incoming and outgoing correspondence, ensuring prompt response and documentation.
C. Other administrative tasks that may be assigned relative to the position.
QUALIFICATIONS:
Education: Bachelor's degree in Business Administration, Management, or any related field.
Experience:
- With at least 3 years of relevant work experience in operations, administration, or executive support.
- Background in permit renewal, compliance, and general office administration is also required.
Skills:
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- High attention to detail and accuracy in document preparation and record management.
- Proficient in MS Office applications and other business software tools.
- Ability to work with minimal supervision and maintain confidentiality in handling sensitive information.
- Professional demeanor and strong interpersonal skills for interaction with management and external partners.
