Job Description

As an Admin Assistant, you will support operations by coordinating with offshore teams and clients, managing records, processing essential documents, and assisting with technician onboarding. You will play a key role in maintaining compliance, streamlining workflows, and ensuring efficient day-to-day operations in a dynamic international environment.

The Qualifications We Seek

  • 3+ years of experience
  • Experience in providing virtual assistance to international clients
  • Attention to detail with strong organizational skills
  • Self-motivated and capable of working independently within deadlines
  • Polite and professional phone manner
  • Effective communication at all levels
  • Team player with a positive attitude
  • Strong time management and multitasking abilities
  • Problem-solving skills under pressure
  • Ability to coordinate paperwork, reporting, and produce invoices and reports as needed

Requirements:

  • Languages: English
  • Computer skills: Advanced proficiency in Microsoft Office Suite & different CRM systems

Other:

  • Experience working with Australian clients is preferred but not required
  • Background in service industry an advantage

  • Friendly and approachable

Your Daily Tasks

  • Upload/email service reports, invoices, insurance documents, and SWMS for repair jobs
  • Set up profiles, allocate inductions, and track expiry/competency requirements
  • Chase purchase orders, follow up on quotes, and handle upgrade/KPI extension requests
  • Manage work orders, monitor compliance status, edit PDFs, and maintain records in Excel
  • Maintain service client database, create reports, and handle daily administrative tasks for smooth operations
  • Work closely with the onshore operations team to ensure client needs are met effectively
  • Perform other duties as required
