The Dispatching Supervisor oversees the scheduling, routing, and dispatching of delivery personnel and vehicles to ensure timely and accurate delivery of parcels, cargo, or goods. This role ensures smooth coordination between warehouse, sorting, and delivery teams, while maintaining operational efficiency, cost control, and compliance with company policies and service standards.

Duties and Responsibilities:

  • Supervise Dispatch Operations
  • Oversee daily dispatching activities, ensuring all delivery runs are properly scheduled and assigned.
  • Monitor vehicle and rider availability and allocate resources efficiently based on delivery volume.
  • Coordinate with sorting, warehouse, and line-haul teams for smooth parcel handover and dispatch timing.
  • Monitor Performance and Compliance
  • Ensure dispatchers, drivers, and riders follow standard operating procedures (SOPs).
  • Track delivery KPIs such as on-time dispatch rate, turnaround time, and delivery accuracy.
  • Conduct spot checks and validate reports to ensure accountability and performance consistency.
  • Communication and Coordination
  • Serve as point-of-contact between branch operations, riders, and transport partners.
  • Communicate daily dispatch plans, route updates, and emergency instructions to the team.
  • Handle delivery-related issues such as delays, route changes, or vehicle breakdowns.
  • Reporting and Documentation
  • Maintain accurate records of dispatched trips, manpower allocation, and fuel usage.
  • Prepare daily, weekly, and monthly dispatch performance reports.
  • Monitor and reconcile delivery manifests and trip tickets.
  • Team Management and Training
  • Supervise, train, and evaluate dispatch staff and riders.
  • Promote discipline, teamwork, and adherence to safety and security protocols.
  • Recommend process improvements for faster and more efficient dispatching operations.
  • Vehicle and Equipment Oversight
  • Coordinate with the fleet team for vehicle maintenance, inspection, and availability.
  • Ensure all delivery tools, communication devices, and safety equipment are functional.

Qualifications:

  • Bachelor's Degree in Logistics, Business Administration, Supply Chain, or any related field.
  • At least 2–3 years of experience in logistics or dispatch operations, with 1 year in a supervisory role preferred.
  • Strong understanding of route planning, fleet scheduling, and delivery processes.
  • Proficient in MS Excel, Google Sheets, and dispatch management systems.
  • Strong leadership, problem-solving, and communication skills.
  • Willing to work flexible hours, weekends, and holidays if required.
