Join Nutrifinds as our Marketing Admin Coordinator and play a vital role in supporting our Marketing Department. You'll work closely with the Marketing Supervisors and Department Manager to manage schedules, track budgets, and ensure smooth coordination across campaigns and projects. JOB DESCRIPTION:
1. Assistance to Leaders
- Support the Department Manager and Marketing Supervisor in their daily functions.
- Help manage schedules, track reports, and follow up on project deliverables.
2. Sectional Support
- Provide administrative and operational assistance across all Marketing sections (Creatives, Digital Marketing, Product, Brand, etc.).
- Ensure all sections receive proper support for campaigns and projects.
3. Administrative Support
- Manage schedules, meetings, and documentation for the Marketing Department.
- Maintain and organize files, databases, and records for campaigns, contracts, and reports.
- Assist in budget monitoring, expense reports, and vendor coordination.
4. PCF Management & Documentation
- Handle the processing, monitoring, and liquidation of Petty Cash Fund (PCF) for marketing-related expenses.
- Ensure proper documentation, reporting, and reconciliation of PCF transactions.
- Coordinate with Finance & Accounting for timely submission and compliance.
5. Research & Data Support
- Gather data and research to support reports, presentations, and strategic decisions.
- Assist in competitor and industry monitoring for marketing insights.
6. Communication & Liaison
- Serve as a point of contact between Marketing and other departments.
- Handle communications with suppliers, agencies, and external partners for marketing-related requirements.
7. Process & Workflow Support
- Support workflow improvements between Marketing and other departments.
- Ensure efficient coordination of marketing and administrative functions.
- Help standardize forms, reports, and documentation for marketing operations.
8. Procurement Support
- Handle procurement processes specifically for marketing-related needs (supplies, collaterals, vendor coordination).
- Monitor purchase requests, quotations, and delivery schedules to ensure timely availability of requirements.
9. Event & Campaign Support
- Provide logistical and administrative support during events, promotions, campaigns, and marketing activations.
Assist with materials preparation, documentation, and supplier coordination.
Documentation & Reporting
Maintain accurate records of marketing activities, expenses, and contracts.
- Prepare summary reports for PCF, procurement, research, and administrative support functions.
QUALIFICATIONS:
1. Educational Background
- Bachelor's degree in Marketing, Business Administration, Communications, or any related field that equips you with both administrative and marketing foundations.
2. Professional Experience
- Preferably with 1-2 years of experience in an administrative, coordination, or marketing support role.
- Background in procurement, documentation, or budget/PCF management will be considered an advantage.
- Exposure to marketing operations, events, or campaign support is a plus.
3. Skills & Competencies
- Proficient in MS Office tools (Word, Excel, PowerPoint) and comfortable using Canva for simple layouts or presentations.
- Strong organizational and multitasking abilities to manage schedules, documentation, and workflows.
- Effective written and verbal communication skills for internal coordination and external liaison.
- Tech-savvy, adaptable, and open to learning new tools or systems to support marketing operations.
4. Personal Attributes
- A reliable team player who can collaborate across different marketing sections and with external partners.
- Highly responsible, dependable, and proactive, with a positive and solution-oriented attitude.
- Comfortable in a fast-paced work environment, maintaining accuracy, timeliness, and attention to detail under pressure.
