Job Summary:
We are seeking a highly organized and detail-oriented Admin Assistant to provide support to our Sales and Marketing team. The ideal candidate will handle day-to-day administrative tasks, assist in coordinating sales activities, and ensure efficient documentation processes. This role requires a professional with strong customer service orientation, a frontliner-ready appearance, and the ability to manage multiple responsibilities while maintaining confidentiality.
Key Responsibilities:
- Provide administrative support to the Sales and Marketing team, including scheduling, correspondence, and filing.
- Assist in preparing and managing real estate sales documentation, contracts, and client records.
- Maintain and organize both physical and digital filing systems.
- Coordinate with clients, sales teams, finance, and legal departments to ensure smooth transaction processing.
- Prepare reports, presentations, and other materials as required.
- Monitor and update CRM/database systems to ensure accurate and up-to-date information.
- Support client-facing activities by ensuring professional interaction and customer service.
- Handle inquiries, schedule appointments, and provide general office support.
- Uphold a high level of professionalism, integrity, and confidentiality in all tasks.
Qualifications:
- Bachelor's degree in Business Administration, Office Administration, Real Estate Management, or related field.
- At least 1 year of experience in administrative support, sales coordination, or documentation processing (real estate industry preferred).
- With a frontliner-ready appearance and strong customer service orientation.
- Familiarity with real estate sales processes, documentation, and filing systems (physical and digital).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and CRM/database systems.
- Strong organizational and time management skills with keen attention to detail.
- Effective verbal and written communication skills; able to coordinate across multiple stakeholders.
- High level of integrity, professionalism, and confidentiality.
