Responsibilities:

  • Support moderately complex administrative tasks
  • Assist in routine payroll processing, record keeping, and reports preparation
  • Work closely with both internal and external stake holders to meet required service needs
  • Perform moderately complex administrative, transactional, operational, and customer support tasks
  • Receive direction from supervisors regarding routine administrative process
  • Provide support in areas of reporting and handling general ledger or expense accounts of a particular business line
  • Interact with internal partners, external customers, and experienced level leaders across the organization
  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements
  • Prepare and edit correspondence, communications, presentations, and other documents
  • Handle confidential information with integrity and discretion
  • Serve as a liaison between the executive and internal/external stakeholders
  • Organize and coordinate executive meetings, including agenda preparation and minute taking
  • Monitor and prioritize incoming communications, including phone calls, emails, and mail
  • Track deadlines, tasks, and follow-up items to ensure timely completion
  • Conduct research, collect and analyse data to prepare reports and documents
  • Assist with personal tasks and errands as needed
  • Coordinate with other departments or teams on cross-functional projects

Desired Qualifications:

  • With at least 2 years of relevant experience as an Executive Assistant, Company Secretary or any relevant experience for both virtual/remote or corporate work environment.
  • Experience working or dealing with stakeholders in a multi-cultural environment.

Job Expectations:

  • Candidate must be willing to work on Day Schedule (7:30AM-3:30 PM Manila time)
  • Work Location will be from home but must be willing to travel around metro manila if needed
  • Meet with company director when he's in manila if needed
  • Proven experience as an Executive Assistant or similar role in administration
  • Strong written and verbal communication skills. Proficient in English is a must
  • High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and digital collaboration tools
  • Excellent time management and organizational skills
  • Ability to multitask and prioritize tasks under pressure
  • Discretion and confidentiality are essential Bachelor's degree in Business Administration or related field is preferred
