Administrative Assistant

Job Summary:
We are seeking a detail-oriented, proactive, and highly organized Administrative Assistant to support daily office operations and ensure smooth workflow within the organization. The ideal candidate will possess excellent communication and multitasking skills, a positive attitude, and a strong work ethic.
Key Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Answer and direct phone calls; take and relay messages as needed
- Organize and schedule appointments, meetings, and events
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails
- Maintain electronic and physical filing systems
- Order office supplies and manage inventory levels
- Assist in the preparation of regularly scheduled reports
- Greet and assist visitors and clients in a professional manner
- Coordinate travel arrangements and process expense reports
- Handle confidential information with discretion
- Support team members and other departments as needed
Requirements and Qualifications:
- High school diploma or equivalent (Associate's or Bachelor's degree preferred)
- Proven experience as an administrative assistant or in a relevant administrative role
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills
- Strong organizational and time-management skills
- Ability to multitask and prioritize tasks efficiently
- Professional demeanor and strong interpersonal skills
- Familiarity with office equipment (e.g., printers, copiers, scanners)
- Discretion and confidentiality are essential
- Knowledge of basic bookkeeping and office management is a plus
Preferred Skills (Optional):
- Experience with scheduling tools or project management software
- Familiarity with CRM systems or cloud-based document management
- Ability to work independently and as part of a team
