
Bidding Coordinator

The Bidding Coordinator will be responsible for identifying procurement opportunities and managing the preparation and submission of high-quality proposals. This role requires working closely with cross-functional teams to respond to Requests for Proposals (RFPs), Requests for Quotations (RFQs), and Requests for Information (RFIs). The Bid Coordinator ensures that all submissions are accurate, compliant, compelling, and delivered on time.
The ideal candidate should have experience in reading bids and performing take-offs to ensure accuracy in project scope. They must be skilled in managing bid timelines to meet strict deadlines while maintaining quality standards. Additionally, they should be capable of building and preparing complete proposals that are clear, compliant, and competitive.
Key Responsibilities
- Serve as the main point of contact for bids and proposals, coordinating the full submission process.
- Review and analyze Request for Proposal, Request for Quotation, and Request for Information, creating outlines, schedules, and compliance checklists.
- Lead kickoff/debrief meetings and ensure clear communication of requirements and timelines.
- Collaborate with teams and subject matter experts to develop strategies, value propositions, and proposal content.
- Write, edit, and format proposals while maintaining compliance, consistency, and quality standards.
- Manage the bid pipeline, track opportunities, maintain templates, and compile supporting corporate/industry information.
Qualifications
- At least 2-3 years of experience in bid coordination, proposals, or a related administrative/project role for US market
- Bidding experience for construction industry is a plus
- Experience with reading bids, doing take-offs, managing bid timelines, and building proposals for US Market
- Strong writing, editing, and organizational skills with keen attention to detail.
- Ability to manage multiple deadlines in a fast-paced environment.
- Excellent communication and teamwork skills to coordinate with cross-functional groups.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with proposal or project management software is a plus.
- Self-starter with problem-solving abilities and the capacity to work independently.
