About the Role

We are seeking a proactive and detail-oriented Virtual Assistant to support in managing customer communications, scheduling, administrative tasks, and invoicing. This position requires strong organizational skills, professionalism, and the ability to work independently during night shift hours.

Key Responsibilities

1. Communication Management

  • Answer inbound phone calls during business hours (U.S. time zone) courteously and professionally.

  • Respond promptly to customer inquiries via email, text, and voicemail.

  • Relay messages or escalate technical issues to appropriate field technicians or management.

  • Maintain a friendly and consistent tone aligned with company standards.

2. Scheduling & Calendar Coordination

  • Schedule and confirm appointments for service calls, installations, and maintenance visits.

  • Coordinate technician routes and manage daily calendars using scheduling software or CRM tools.

  • Follow up with customers before and after appointments to confirm details and collect feedback.

3. Administrative Support

  • Update and organize customer records and service history.

  • Assist with documentation, filing, and light data entry.

  • Support management with general administrative tasks as needed.

4. Invoicing & Payment Collection

  • Create and send invoices promptly after service completion.

  • Track and follow up on outstanding payments professionally.

  • Record and reconcile payments received through digital platforms.

  • Maintain accurate financial records in the billing system.

5. Reporting & Process Updates

  • Provide daily or weekly reports summarizing calls, appointments, and payments.

  • Identify recurring customer concerns and recommend process improvements.

6. Additional Support

  • Perform other administrative or customer service–related duties as assigned.

  • Adapt to evolving business needs to ensure operational efficiency.

Qualifications
  • Proven experience as a Virtual Assistant, Customer Service Representative, or Administrative Assistant.

  • Excellent verbal and written communication skills in English.

  • Strong organizational and multitasking abilities.

  • Familiarity with CRM or scheduling software is a plus.

  • Reliable internet connection and a quiet workspace.

  • Willing to work night shift (U.S. business hours).
