Job Summary

We are seeking a highly organized and proactive Executive Virtual Assistant to provide administrative, client-facing, and marketing support. This role requires strong communication skills, excellent attention to detail, and the ability to manage multiple priorities while working remotely during night shift hours.

Key Responsibilities
1. Administrative Support & Executive Assistance

  • Manage and organize digital documents, contracts, and records.

  • Handle daily communications via email, messaging platforms, and scheduled callbacks.

  • Maintain trackers, logs, and organized documentation.

  • Schedule, manage, and confirm meetings and calendar activities.

  • Prepare presentation slides, talking points, and event-related materials.

2. Client Follow-ups & Relationship Management
  • Conduct consistent outreach and follow-ups to existing and warm leads using a structured cadence.

  • Follow up via email, SMS, and outbound calls using the client's CRM system.

  • Update, tag, and maintain accuracy of CRM data (Keller Williams CRM referenced on page 1).

  • Document call notes, statuses, and follow-up intervals.

  • Strengthen relationships by sending value-driven content, reminders, invites, and educational material.

3. Basic Marketing & Social Media Support
  • Distribute content across social media platforms (videos, educational snippets, announcements).

  • Respond to comments, messages, and basic engagement inquiries.

  • Upload, tag, and schedule posts aligned with the client's branding.

  • Preferred skill: Basic video editing for short-form content.

4. Speaking Engagement Coordination
  • Research potential speaking opportunities (events, podcasts, webinars, expos).

  • Draft outreach messages or proposals to event coordinators.

  • Manage applications, scheduling, logistics, and correspondence.

  • Support preparation of pitch decks, bios, photos, and promotional assets.

5. Additional Support
  • Assist with administrative, research, marketing, and client-facing tasks as needed.

  • Adapt to evolving business needs to ensure operational efficiency and consistent support.

Qualifications
  • Proven experience as an Executive Assistant or Virtual Assistant.

  • Excellent English communication skills (written & verbal).

  • Strong organizational and multitasking abilities.

  • Experience using CRMs (Keller Williams CRM is a plus).

  • Familiarity with social media platforms and basic digital marketing tasks.

  • Ability to work independently in a remote, night-shift environment.

  • Basic video editing skills are a plus but not required.
