Business Support Coordinator

Work Shift: 9:00 AM - 6:00 PM PHT, Monday-Friday
About the Role:
We are a Singapore-based company managing gas pipeline projects and are looking for a full-time Business Support Coordinator to provide day-to-day administrative and documentation support.
Your main focus will be claims tracking, drawings, site evidence, and document control to keep all submissions audit-ready and on schedule. You'll work closely with our Finance Manager and project/site teams.
This is a long-term role for someone who is organised, detail-oriented, and comfortable working with multiple stakeholders and documents.
Key Responsibilities:
- Claims & Tracking
- Update Work Order (WO) details.
- Record all VWD-PC-SES emails received regarding claim status into the Project Master Tracking file.
- Update sub-contractor/supplier invoices in the Project Master Tracking system.
- Maintain and update the claim folder for LTA-ROA applicationssubmitted by the project team.
- Site Evidence & Reports
- Perform daily checks for photo uploads from site supervisors and follow up where needed.
- Download Daily Reports and As-built drawings from the site WhatsApp group.
- Follow up with supervisors for hard copy submissions of reports and drawings.
- Drawings & Drafting Coordination
- Coordinate with the Drafting Team to follow up on drawings required for claim purposes.
- Manpower & Documentation
- Collect manpower timesheets from site supervisors for manpower supply to other contractors.
- Carry out other necessary documentation and administrative tasks as required.
Qualifications:
- Any local Polytechnic or University graduate
- Atleast 3 years of relevant working experience.
- Strong Excel / Google Sheets skills (comfortable with formulas, filters, basic pivot tables, etc.).
- Well-organised with good follow-through – you don't lose track of open items.
- Comfortable using WhatsApp, Microsoft Teams, and shared folders/online document systems.
- Detail-oriented, with the ability to coordinate with site teams, vendors, and internal stakeholders.
- Good written and spoken English for clear documentation and communication.
Nice-to-Have (Bonus)
- Familiarity with:
- LTA/ROA processes
- As-built drawings
- Claims workflows for construction/engineering projects
- Background or certification in:
- Civil Engineering or AutoCAD (advantage, but not mandatory)
- Experience in construction, utilities, or infrastructure projects.
