Job Title: Administrative Support Assistant – New Business Operations

We are looking for a detail-oriented and proactive Administrative Support Assistant to join our team and support the daily operations of our growing business. This role focuses on administrative coordination, document management, and general support across departments, with a particular emphasis on assisting with the billing process and maintaining organized workflows.

Key Responsibilities: Administrative Coordination

  • Support day-to-day administrative functions to ensure smooth office operations.
  • Maintain and update internal records, files, and documentation accurately.
  • Assist with scheduling, email communication, and internal reporting.

Billing Support

  • Assist in processing and verifying invoices.
  • Support billing submissions and follow up on outstanding payments as needed.
  • Help track billing discrepancies and communicate with relevant teams to resolve them.

Reporting & Documentation

  • Prepare summaries and assist in compiling data related to billing and operations.
  • Maintain organized records for billing, vendor communications, and client interactions.

Team and Cross-Functional Support

  • Coordinate with different departments to gather information and ensure consistent data flow.
  • Provide general administrative support to the finance and operations teams.

Requirements:

  • Education: Associate or Bachelor's degree in Administration, Office Management, or a related field (preferred).
  • Experience: 1–3 years in an administrative or office support role (experience in billing is a plus).
  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with billing or financial systems is a plus.
  • Soft Skills:
  • Strong organizational and time management skills.
  • Clear communication and attention to detail.
  • Ability to work both independently and as part of a team.
