What You'll Do in This Role

Be part of our client's team as an Accounts Payable Specialist and take charge of accurate invoice processing, payment validation, and account reconciliation. You will coordinate closely with operations and customer service teams, ensuring that every transaction supports smooth global freight and logistics operations.

What You'll Bring to the Table

  • Bachelor's degree in Accounting, Finance, or a related field
  • Minimum of 1 year of experience in Accounts Payable; Australian experience preferred
  • Proven experience in data entry
  • Background in accounting, preferably in logistics, transportation, or warehousing
  • Proficiency in NetSuite or any ERP platform, and Microsoft Excel
  • Knowledge of freight billing terms (e.g., CBM, volumetric weight, Incoterms) an advantage
  • Strong attention to detail and accuracy in processing transactions
  • Excellent communication and coordination skills with operations and sales teams
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Exposure to international shipping and customs-related charges a plus

Where You'll Make an Impact

  • Generate and issue accurate customer invoices based on transport jobs, storage agreements, or freight contracts
  • Monitor customer accounts to ensure timely collections and follow up on outstanding balances
  • Apply received payments (e.g., bank deposits, wire transfers) to corresponding invoices and resolve misapplications
  • Coordinate with customer service and operations teams to resolve billing disputes, respond to POD requests, and provide charge justifications
  • Process vendor invoices from freight carriers, fuel providers, warehousing suppliers, and subcontractors
  • Validate, code, and match invoices against purchase orders and job references
  • Prepare payment batches in compliance with agreed payment terms and cut-off schedules
  • Reconcile supplier statements monthly and resolve outstanding discrepancies
  • Prepare journal entries and adjustments for cost allocations, accrued expenses, and inter-branch charges
  • Maintain accounting schedules, including prepayments, depreciation, and fleet costs
  • Support monthly closing activities and generate reports on operational expenses and revenues
  • Reconcile general ledger accounts, including bank accounts, AR, AP, and advances
  • Validate rate applications for freight charges, fuel levies, and demurrage fees
  • Support warehouse revenue recognition based on storage days, pallet spaces, or racking usage
