Job Title: Customer Service Representative – Import Department

Department: Import / Logistics / Operations

Location: Solana, Intramuros Manila

Reports To: Import Manager / Operations Supervisor

Job Summary:

The Customer Service Representative for the Import Department is responsible for coordinating and ensuring smooth import operations while providing excellent service to clients. This role involves handling customer inquiries, tracking shipments, managing documentation, and working closely with freight forwarders, customs brokers, and internal teams to ensure timely and accurate delivery of imported goods.

Key Responsibilities:

  • Serve as the primary point of contact for customers regarding import shipments and inquiries.
  • Coordinate with suppliers, freight forwarders, and customs brokers to monitor shipment status and ensure timely deliveries.
  • Prepare and review import documentation, including invoices, packing lists, and bills of lading.
  • Ensure compliance with customs regulations and company policies.
  • Resolve customer complaints or issues related to import orders in a timely and professional manner.
  • Maintain accurate records of all import transactions in the company's system.
  • Track shipments and provide status updates to customers and internal teams.
  • Work closely with the warehouse and inventory teams to ensure proper receipt and documentation of goods.
  • Identify process improvements to enhance service quality and operational efficiency.
  • Assist with duties related to import compliance audits or reporting, as needed.

Qualifications:

  • Bachelor's degree in Customs Administration, Logistics, or related field is a plus
  • 2+ years of experience in import customer service, logistics, or freight forwarding.
  • Knowledge of import regulations, Incoterms, and international shipping processes.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with ERP or logistics systems preferred.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Ability to work under pressure and meet deadlines.
