JOB DESCRIPTION:

Administration

  1. Processing the budget requisition and monitor the settlement of receipts for liquidation and reimbursement

  2. Ensures the timely and accurate payment of details for rentals and utilities.

  3. Checks the monthly usage of cellular phones and fax lines and ensures that personal calls are noted for deduction from the respective persons

  4. Responsible for renewal or applying new line applications for Globe, Smart, PLDT, etc.

  5. Responsible for routing donations (financial help, bereavement, etc.) to every department when necessary

  6. Monitors and orders monthly office supplies per departmental requirement

  7. Monitoring of building conditions and ensuring the timely cleaning and maintenance of the building, facilities, and equipment of the company such as elevator, aircon, xerox machine, etc.

  8. Instruct the utility Staff and ensure that they perform their duties and responsibilities in accordance with what is expected of them

  9. Ensures that the utility staff are keeping the area and their areas of responsibility clean at all times

  10. Monitors and secures the locker area

  11. Responsible for allocating Fire extinguishers and refilling them annually

  12. Ensures that the security agency of the company is performing as per the required standard set forth

  13. Ensures that the company directory is up to date

  14. Monitoring the timely registration of vehicles/motorcycles and ensuring that the quarterly maintenance

  15. Ensures and monitor the renewal of vehicle permits and other permits as needed

  16. Securing employees ' driver's licenses and road violations and ensuring the timely payment accordingly

  17. Responsible for and monitors Fleet card renewal and replenishment

  18. Monitors the Radio Frequency ID of all vehicles and is responsible for monthly reload requisition

  19. Responsible for processing group insurance renewal for riders and ensuring timely payment annually

  20. Monitors the renewal of non-life insurance of stores (Fire and Comprehensive General Liability and ensures the timely payment of policy

  21. Securing and monitoring the processing of permits and licenses such as the Optical Media Board, National Telecommunication Commission, Bureau of Customs, and Bureau of Trademark.

  22. Monitors handling permits and other documents of Orion Cepheid, Inc.,

  23. Ensures that the Liaison Staff renews the necessary permits and licenses of Head Office/Stores and is responsible for processing permits at the city hall and BIR of new incoming stores and business closure when necessary

  24. Doing fieldwork duties when necessary

  25. Securing and scheduling the Ledger in a timely renew

  26. Responsible for keeping confidential files of the executive, securing personal documents, and timely payment of utilities

  27. Assist the Vice President's concerns as if she needed to from time to time

  28. Other clerical and administrative functions and departmental concerns

Job Requirements:

  • Must be a graduate of Business Administration/ Business Management
  • Must have a valid license with PRC for Standard First Aid and Basic Life Support
  • Requires excellent health condition
  • Must be creative and be able to make sound decisions.
  • Must have an eye for details
  • Requires exposure to different kinds of people.
  • At least three years experience in Admin functions
  • Must be adept in administrative functions and PCO requirements
  • Requires computer literacy; and capability to operate equipment and machinery.
  • Requires excellence in both written & oral communication skills.
  • Requires tactfulness and confidence in carrying out the job functions
  • Must have a background in personality grooming/development.
