Job Summary

The Project In-Charge is responsible for managing and supervising assigned fit-out projects from start to finish. This includes planning, execution, resource allocation, and ensuring that all work is completed on time, within quality standards, and in compliance with safety regulations. The role requires close coordination with clients, vendors, subcontractors, and internal teams to achieve successful project delivery.

Key Responsibilities

Project Execution

  • Develop detailed project plans, schedules, and deliverables.
  • Review construction drawings and material specifications before implementation.
  • Conduct project kick-off and safety orientation meetings with all stakeholders.
  • Oversee day-to-day site operations, ensuring quality workmanship and adherence to safety guidelines.
  • Prepare and monitor Material Requests (MR) and ensure timely delivery of materials.

Reporting & Communication

  • Provide regular project updates, highlight issues, and report resolutions to the head office.
  • Organize and lead weekly coordination meetings with vendors, subcontractors, and other stakeholders.
  • Prepare and submit Minutes of Meetings (MOM), Certificates of Completion (COC), and milestone billing documents.

Stakeholder Coordination

  • Establish and maintain positive working relationships with building administrators, vendors, subcontractors, and clients.
  • Ensure all project requirements, deliverables, and deadlines are met through effective communication and coordination.

Resource Management

  • Supervise subcontractors and support staff to ensure work progress and deliverables meet project expectations.
  • Track project performance and recommend adjustments when necessary.

Project Close-Out

  • Oversee project turnover, documentation, and testing/commissioning activities.
  • Compile and prepare As-Built drawings, test results, and O&M manuals for client submission.

Qualifications

  • Licensed Engineer, or equivalent (Professional License required)
  • Minimum of 1 years of relevant experience, with at least 1 years in fit-out project management
  • Preferably with supervisory experience in Architecture, Interior Design, or related fields
  • Proficient in Microsoft Office and AutoCAD
  • Strong analytical, problem-solving, and project management skills
  • Excellent communication and stakeholder management abilities
  • Detail-oriented, reliable, and capable of working independently
