Responsibilities:

  • Task Management: Assign responsibilities based on individual team strengths and operational priorities to ensure optimal use of manpower. Schedule and delegate tasks to technicians and security personnel, monitor performance, address issues as they arise, and ensure compliance with safety protocols.
  • Team Supervision: Manage daily activities of the maintenance and security teams, ensuring tasks are executed efficiently and within established timelines. Conduct regular briefings to communicate objectives, share updates, and resolve team concerns.
  • Request Coordination: Supervise the Lead Man in maintenance and coordinate with the Admin Assistant to manage and prioritize service requests effectively.
  • Quality Assurance & Compliance: Conduct routine inspections of the property to ensure adherence to safety, quality standards, company policies, service level agreements (SLAs), and local regulatory requirements.
  • Vendor & Contractor Coordination: Liaise with vendors and contractors for repair and maintenance services. Oversee permit acquisition, service schedules, job order tracking, and maintenance documentation.
  • Client Support & Communication: Support the Property Manager in addressing client and employee inquiries or concerns, ensuring timely resolution and enhancing customer satisfaction.
  • Resource & Performance Management: Oversee the use and availability of resources such as tools, equipment, and supplies to ensure operational efficiency and cost-effectiveness. Assist the Property Manager in monitoring team performance against KPIs, identifying improvement opportunities, and supporting training and development efforts.
  • Compliance & Reporting: Compile and submit regular performance reports to the Property Manager, highlighting key metrics including task completion, SLA adherence, and team productivity.
  • Additional Duties: Undertake other responsibilities as assigned by the Property Manager.

Qualifications:

  • Bachelor's degree in Property Management, Business Administration, Facilities Management, Engineering or a related field.
  • Proven track record of managing teams, resolving operational issues, and meeting performance targets.
  • Excellent verbal and written communication skills for interacting with internal teams, clients, and external partners.
  • Ability to manage multiple tasks and priorities effectively.
  • Experience in resource allocation, including manpower, equipment, and supplies.
  • Familiarity with office operations, facility management and procedures.
  • Ability to lead, motivate, and manage a diverse team of staff
  • Ability to create detailed reports, correspondence, and presentations.
  • Keen to details.
