Position Title: Junior Administrative Assistant
Work Set-up: Work from Office only
Schedule: Monday – Friday, 7:00 AM – 3:30 PM PH Time (30-Minutes Lunch Break)
Holidays: Gold Coast, QLD, Holidays
About the Role:
We are seeking a detail-oriented and motivated Administrative & Recruitment Support Assistant to join our team. The successful candidate will not only handle core administrative responsibilities but will also be trained to assist in recruitment processes. This is a great opportunity for someone who is willing to learn, open to supporting different departments, and eager to grow with the business. All training will be provided.
Key Responsibilities:
- CV Formatting: Reformat and standardize candidate resumes to align with company templates and branding.
- Email Drafting: Prepare professional email communications on behalf of the manager for various purposes, including applicant correspondence and internal updates.
- CRM Updates: Maintain and update client and candidate information accurately in the CRM system.
- Data Entry: Input and manage data efficiently across multiple systems.
- Job Posting: Create and post job advertisements across various job platforms.
- Interview Coordination: Assist in organizing and scheduling candidate interviews and meetings.
- Basic Video Editing: Perform simple video edits such as cutting, splitting clips, and adding images using tools like CapCut.
- Design Assistance: Create basic graphics and documents using Canva.
- Recruitment Support: Learn and assist with end-to-end recruitment tasks, including sourcing, screening, and shortlisting candidates.
- Cross-Departmental Support: Provide assistance to other departments as required, contributing to business operations beyond core admin work.
- General Administration: Perform ad hoc administrative tasks as needed.
Key Requirements:
- Strong written and verbal communication skills.
- High attention to detail and excellent organizational skills.
- Comfortable using CRM systems (experience with Zoho is a plus).
- Familiarity with job platforms (e.g., Indeed, Seek, LinkedIn).
- Basic knowledge of CapCut and Canva.
- Ability to manage multiple tasks and meet deadlines.
- Self-motivated with a proactive approach to problem-solving.
- Willingness to learn, especially in recruitment, with full training provided.
- Flexible and adaptable, open to supporting other departments when needed.
