We in Brainbox are looking for an Administrative Assistant to perform a variety of administrative tasks.
Qualifications and Experience
- Bachelor's degree in business administration or any relevant degree
- 1-2 years of admin experience
- Experience balancing multiple work streams simultaneously
Key Duties
RFQs & Quotes
- Monitor shared folder; log/transfer RFQ data to the spreadsheet.
- Prepare, format, and send quotes (no pricing calculations required).
- Maintain version control and daily trackers.
Customer service (email only)
- Acknowledge, respond, and close out customer email enquiries.
- Escalate edge cases to the client manager.
Admin & documentation
- File/organise digital records (RFQs, quotes, invoices).
- Keep trackers up to date; produce simple internal docs as needed.
Accounts administration (non-bookkeeping)
- Prepare/process invoices against quotes/completed orders.
- Match data accurately and follow up on discrepancies with the client team.
Systems & Tools
- Microsoft Excel (daily) — formulas, formatting, accurate data entry.
- Outlook — professional email handling.
- SharePoint/OneDrive (or equivalent) — structured filing, versioning.
- Basic invoicing/accounting software.

- High attention to detail; steady, methodical worker for repetitive processes.
- Excellent written English; concise, professional email tone.
- Process-driven; disciplined with checklists and version control.
- Proactive in flagging issues early but won't escalate noise.
- Reliable throughput; consistent daily updates.

This role is subject to a number of skills and practical tests.
This position is an on-site role at our Pampanga office. Candidates must be willing to work on-site.
