Job Summary:
We are looking for a detail-oriented and responsible Facility Officer / Admin to manage the upkeep, functionality, and safety of our buildings and internal facilities. This role focuses on maintaining the physical condition of the premises, including furniture, fixtures, utilities, and other assets within the building. The ideal candidate will ensure a clean, safe, and well-maintained environment for all staff and visitors.
Key Responsibilities: Facility & Building Maintenance:
- Conduct routine inspections of buildings, furniture, and internal areas to identify repair or maintenance needs.
- Coordinate with contractors and service providers for building repairs, painting, plumbing, electrical work, HVAC servicing, etc.
- Monitor and schedule preventive maintenance for all facilities-related systems and equipment.
- Ensure proper care, arrangement, and inventory of office furniture and fixtures.
- Maintain cleanliness and orderliness in all common areas (e.g., lobbies, hallways, meeting rooms).
- Ensure waste management, recycling, and pest control services are regularly carried out.
Asset and Supplies Management:
- Maintain an up-to-date inventory of all office furniture, fixtures, and fittings.
- Monitor usage and condition of office assets and ensure timely repair or replacement.
- Oversee the movement or rearrangement of furniture and equipment as needed.
- Liaise with procurement to ensure timely replenishment of maintenance supplies and tools.
Health, Safety & Security:
- Ensure all facilities comply with health and safety regulations.
- Conduct regular checks of fire safety equipment and emergency exits.
- Support implementation of workplace safety procedures and emergency response protocols.
Administrative Support:
- Maintain records of repairs, maintenance schedules, and service provider contracts.
- Assist with budgeting for facility-related expenses and procurement planning.
- Support office relocations, renovations, or space planning when needed.
- Provide general support to the admin or operations department as required.
Requirements:
- Previous experience in facilities management, building maintenance, or administrative support.
- Basic knowledge of building systems (plumbing, electrical, HVAC, etc.).
- Good organizational and time management skills.
- Ability to coordinate with contractors, suppliers, and service providers.
- Strong attention to detail and problem-solving skills.
- Proficiency in Microsoft Office and familiarity with maintenance tracking systems is a plus.
Preferred Qualifications:
- Diploma or certification in Facilities Management, Building Maintenance, or a related field.
- Working knowledge of local health, safety, and environmental standards.
- Ability to handle basic tools and oversee minor repair tasks.
Work Conditions:
- Office-based with regular walkthroughs of the facility.
- May involve occasional lifting or physical work during setups, inspections, or maintenance tasks.
- Standard office hours with flexibility for emergency maintenance issues.
Job Type: Full-time
Pay: Php18, Php20,000.00 per month
