Accounts & Commercial Sales Administrator

One of our client is looking for a versatile and organized Accounts & Commercial Sales Administrator to join our team. This dual-role position is perfect for a proactive individual with experience in both accounting and commercial real estate administration. You'll be a vital part of our operations, ensuring the seamless flow of our clients' financial and commercial activities.

Job Responsibilities:

Your responsibilities will be split between two key areas, requiring you to be a skilled multi-tasker with a strong focus on detail.

Accounts

  • Process fortnightly payroll accurately and on time for the Australian client local employees.
  • Manage creditor invoices and payments in Xero.
  • Raise invoices for various fees, including marketing, lease administration, and sales commissions.
  • Create and update contact records in Xero.
  • Perform bank and account reconciliations to ensure financial records are correct.

Commercial Sales and Leasing

  • Create marketing materials, including signboards, magazine ads, and social media tiles.
  • Prepare and issue essential documents like agency agreements and lease agreements with special conditions.
  • Draft market appraisals and prepare initial Information Memorandums for sales.
  • Update and manage data in the VaultRE and Re-leased databases.
  • Save property videos to YouTube and link them in our records.
  • Monitor the commercial sales and leasing market and update internal spreadsheets.

This role is not for individuals who:

  • Lack hands-on experience in both accounting and commercial real estate administration.
  • Are unfamiliar with key software platforms like Xero and VaultRE.
  • Struggle with a dynamic, fast-paced workload that involves juggling diverse tasks and priorities.

Qualifications and Experience

  • Proven experience in a similar administrative role, specifically within the Australian commercial property real estate sales and leasing industry.
  • Proficiency in Xero for all accounting tasks.
  • Extensive experience with the VaultRE database and other related real estate software.
  • Exceptional organizational skills and a meticulous attention to detail.
  • Strong verbal and written communication skills.
  • Ability to work independently and manage time effectively.
