The RoleWe are seeking a Sales Administration Assistant to support our growing FMCG business across key retail accounts. This role plays a pivotal part in ensuring the smooth execution of all administrative, operational, and retailer-facing sales processes from product onboarding and promotions, freight management to launches and price management.
The ideal candidate is highly organised, detail-oriented, and confident working within retailer systems such as Woolworths PartnerHub and Coles Supplier Central platforms.
Key ResponsibilitiesRetailer Administration & Product Management
- Complete and submit New Line Forms (NLFs) and product updates through retailer portals.
- Manage product onboarding and change requests, ensuring accuracy and compliance with retailer requirements.
- Coordinate with supply chain, marketing, and finance teams to gather data and documentation required for submissions.
Promotional Management
- Maintain and update promotional plans in retailer portals.
- Submit promotional deals and work with buyers on timing adjustments or approval changes.
- Coordinate major promotional events (catalogues, off-location displays, etc.) to ensure all operational elements stock, artwork, and logistics are in place.
Product Launches & Sampling
- Coordinate samples for retailer reviews and product evaluations.
- Support new product launches, ensuring all internal teams and external partners are aligned on timing, artwork, and approvals.
Pricing & Cost Management
- Manage cost price increases (CPI) submissions and updates through retailer portals.
- Ensure changes are communicated internally and reflected correctly in systems and forecasts.
Marketing & Brand Support
- Submit marketing materials, images, and content through retailer systems.
- Liaise with the marketing team to ensure all assets meet retailer specifications.
Freight & Logistics Management
- Coordinate freight movements for samples, promotional stock and new product launches.
- Liaise with 3PL partners, freight forwarders, suppliers and internal logistics teams to ensure timely and delivery using portals
Skills & Experience
- Previous experience in FMCG sales administration or retail account support.
- Candidates with international FMCG experience will be evaluated on a case-by-case basis for suitability to Australian retailer requirements.
- Minimum 1-2 years of FMCG sales administration experience is required.
- Proficient in retailer systems (Woolworths PartnerHub and Coles Supplier Central or equivalent).
- Strong attention to detail and ability to manage multiple projects simultaneously.
- Excellent communication and coordination skills across cross-functional teams.
- Intermediate Excel and PowerPoint skills.
- Excel proficiency must include pivot tables and advanced functions beyond basic intermediate skills.
- A proactive, solutions-focused mindset with strong commercial awareness.
- Ability to work independently and collaboratively
