Job Description

As an Executive Virtual Assistant, you will manage executive calendars, prepare high-level documents, coordinate leadership meetings, and handle sensitive communications for senior stakeholders. Your role ensures smooth operations and top-tier support for leaders in a fast-paced healthcare environment.

Job Overview

Employment type: Full-time

Shift: Night shift, Monday to Friday, 8:00 AM to 5:00 PM EST

Work setup: Permanent WFH

The Qualifications We Seek

  • Experience: 5+ years as an Executive Assistant or Virtual Assistant to senior-level executives
  • Excellent communication skills (written and verbal)
  • Experience handling U.S.-based stakeholders and time zones
  • High-level professionalism and executive presence
  • Strong attention to detail and organizational skills
  • Proven confidentiality, discretion, and emotional intelligence
  • Technical Skills:
  • Microsoft Office Suite
  • Workday
  • Scheduling/project management platforms (e.g., Trello or equivalent)
  • Contract management systems (familiarity is a plus)
  • Nice to Have:
  • Experience in high-reliability industries (healthcare, aerospace)
  • Exposure to fast-paced, high-growth environments
  • Familiarity with U.S. healthcare operations or terminology

Your Daily Tasks

  • Executive calendar management & prioritization
  • Content preparation and document formatting
  • Preparation for leadership meetings, board materials, and travel logistics
  • Internal and external communications (including suppliers, physicians, and executives)
  • Supporting team accountability and performance monitoring
  • General project support and milestone tracking
  • Information organization and coordination across the supply chain function
  • Logistics coordination for in-person events and travel (IDN conferences, hospital site visits, etc.)

Key Stakeholders:

  • Directly supports: CSCO and (eventually) two Associate Chiefs
  • Works with: Functional area directors
  • Engages with: Internal senior executives and external partners (supplier VPs, CMOs, CEOs)
