Job Summary: Assists in the implementation of various Human Resources and Admin objectives, plans, programs and activities.
Human Resources:
Maintains and updates 201 files;
Handles timekeeping functions for monthly-paid and daily-paid employees; submits employee time record and attendance for payroll and disciplinary purposes;
Files HRD records, documents, etc.; and ensures availability of forms and various application documents;
File SSS sickness and maternity applications/benefits of employees;
Encodes/issues, routes and/or circulates to concerned parties HRD and Admin memos, circulars and policy-guidelines; prepares and issues employee's ID cards, employment contracts;
Prepares communication on disciplinary actions in timely manner;
Supports and assists HRD programs, e.g. 5S, Supervisory and Managerial developmental training/seminars, mass, Safety Committee training;
Administer departmental practical examinations, interviews applicants (rank-and-file level);
Prepares and ensures strict implementation of detailed work schedule of Janitors, Maintenance and Security personnel;
Updates monthly manpower reports, work-connected medical cases and individual health records, VL/SL, employee master list;
Receives, collates/dispenses mails/emails for and in behalf of the company;
Safekeeps, maintains or releases correspondences, memos of the President and/or Hospital Administrator and follows-up section/departmental responses/feedback;
Safekeeps and maintains all DOLE records/documents;
Performs other related duties and functions that may be assigned from time to time.
Administrative:
Delegating tasks per department and ensuring that they are completed in accordance with existing policies and procedures.
Greeting and directing company visitors to the appropriate parties.
Handling advanced office duties, such as answering and routing phones, responding to emails, maintaining employee records, and data entry and day to day reporting to immediate superior.
Answering questions and finding information for employees and stakeholders.
Supporting employees by facilitating interdepartmental communications and interactions between internal and external parties.
Ensuring that the office and all Hospital facilities is well-maintained, organized, and secure.
Developing and suggesting new policies and processes.
Working with departments as they implement, refine, review, and modify processes of hospital system.
Establishing and enforcing cleanliness of facilities.
Maintain close coordination and monitoring to all staff under general services
Presenting findings and pitching ideas to top management and other departments so they understand recommendations or changes.
Ensuring that all initiative align with the company's mission and goals.
Perform task that may be assigned from time to time by immediate superior.
Qualification Requirements:
· Bachelor's degree in Human Resources or related (essential).
· 2 years of experience as an HR Assistant (essential).
· Exposure to Labor Law and employment equity regulations.
· Effective HR administration and people management skills.
· Exposure to payroll practices.
· Full understanding of HR functions and best practices.
· Excellent written and verbal communication skills.
· Works well under pressure and meets tight deadlines.
· Highly computer literate with capability in email, MS Office and related business and communication tools.
· Above average organizational and time management skills.
· Can work with minimum supervision.
· Strong decision-making and problem-solving skills.
· Meticulous attention to detail.
