What is this role about?
The role is responsible for supporting the engineering department by organizing meetings, managing contractor billing, maintaining records, and ensuring smooth communication between the engineering teams at different terminals. The role involves assisting with administrative tasks, coordinating urgent requests, managing documentation, and supporting engineering activities like site visits and meetings. The position requires proactive coordination across multiple teams to address simultaneous needs and contribute to the continuous improvement and maintenance of engineering projects.
What will YOU do?
- Arrange and schedule meetings with contractors and engineering managers to ensure smooth communication and project progression
- Assist with billing requirements and invoicing for contractors, ensuring accuracy and timely processing
- Take detailed notes during meetings and follow up on plans and documents to ensure all actions are tracked and completed
- Manage and organize requests from various terminals to ensure that the engineering department's needs are met promptly
- Monitor ongoing needs and requirements of the engineering department to ensure projects run smoothly
- Maintain regular communication with the engineering departments across all terminals to address and fulfill their needs
- Monitor and maintain the inventory of engineering department records, ensuring everything is well-organized and accessible
- Support engineering teams in organizing and coordinating pre-bid meetings, pre-construction meetings, and other essential activities
- Perform site visits and inspections as necessary to assist with project oversight and ensure compliance with engineering requirements
- Ensure that all action items from meetings and inspections are followed up on and completed within set deadlines
