Role Overview

We're looking for a highly organized, forward-thinking Executive Assistant who can operate as the strategic right hand to our CEO. This is a role for someone who thrives in a dynamic, fast-paced, global environment—someone who is not only detail-obsessed but also brings strong executive presence, operational excellence, and the ability to anticipate needs before they arise. Key Responsibilities

  • Deliver comprehensive executive support, including sophisticated calendar management, global scheduling, and meeting orchestration.
  • Handle end-to-end U.S. and international travel planning—flights, visas, itineraries, logistics, and expenses—with precision and foresight.
  • Prioritize and manage inbound communications, drafting concise summaries, responses, and follow-up actions on behalf of the CEO.
  • Develop polished presentations, reports, and board-ready briefing materials.
  • Drive strategic initiatives and special projects, ensuring timelines, accountability, and exceptional execution.
  • Act as a trusted liaison between the CEO, leadership team, and external partners, safeguarding professionalism, clarity, and discretion.
  • Capture detailed meeting notes, maintain action trackers, and ensure deliverables stay on course.
  • Organize and maintain digital systems, leveraging project management tools to maximize efficiency.
  • Support leadership offsites, internal events, and key communication initiatives.

Must-Have Qualifications

  • 5+ years of experience supporting a U.S.-based CEO or C-suite executive—ideally in a multinational, IT, or managed services environment.
  • Solid project management background with hands-on expertise using , Asana, Smartsheet, or similar tools.
  • Proven mastery of high-volume calendaring, travel logistics, and cross-functional coordination.
  • Exceptional written and verbal communication skills, with a polished, executive-level presence.
  • High technical proficiency across Microsoft Office, Google Workspace, Slack, Teams, Zoom, and modern productivity tools.
  • Outstanding organizational abilities and the skill to juggle multiple priorities without losing momentum.
  • Strong experience preparing concise reports, executive briefs, and decision-ready summaries.
  • Impeccable judgment, reliability, and commitment to confidentiality.
  • A dedicated, professional home office setup for remote work.
  • Willingness to work on the night shift (8:00 AM – 5:00 PM EST).

Nice-to-Haves

  • Formal project management certification (PMP, Agile, etc.).
  • Background in MSP, IT, or technology services sectors.
  • Experience in process improvement, operations, or workflow optimization.
  • Strong analytical abilities and a proactive, solution-oriented mindset.
