Work Arrangement:

  • Days 1–30: 100% Onsite
  • Days 31–60: 4 days Onsite / 1 day Work From Home
  • Days 61–90: 3 days Onsite / 2 days Work From Home

About this Role

The Executive Assistant (EA) provides high-level administrative support to executives or senior management. This role involves managing calendars, scheduling meetings, handling correspondence, organizing travel arrangements, and ensuring efficient day-to-day operations. The EA acts as a gatekeeper and liaison between the executive and internal/external stakeholders, while also maintaining confidentiality and professionalism at all times.

Key Responsibilities: 

  • Manage and maintain executive schedules, appointments, and travel arrangements.

  • Prepare and edit correspondence, communications, presentations, and other documents.

  • Handle incoming calls, emails, and other communications on behalf of the executive.

  • Organize meetings, including agenda preparation, minutes taking, and follow-ups.

  • Coordinate and facilitate internal and external meetings and events.

  • Maintain filing systems, contact databases, and confidential records.

  • Conduct research, compile data, and prepare reports as needed.

  • Assist with personal tasks and errands when required.

Qualifications:

  • 3–5 years of professional experience in an Executive Assistant, Administrative Assistant, or high-level support role, preferably supporting senior leadership.
  • Demonstrated ability to communicate professionally, clearly, and confidently with C-suite executives, board members, stakeholders, and high-level external partners.
  • Exceptional verbal and written communication skills; able to write and speak with tact, polish, and precision on behalf of the CEO.
  • Proactive and poised in handling sensitive conversations and confidential information.
  • Strong organizational skills with high attention to detail and accuracy under pressure.
  • Ability to manage a dynamic calendar, prioritize meetings, and coordinate high-stakes travel and logistics.
  • Familiarity with tools such as Microsoft Office Suite, Google Workspace, Zoom, and calendar/email management software.
  • Confident, resourceful, and discreet, with a strong sense of ownership and follow-through.
  • Proactive problem-solver who remains composed in fast-paced environments.
