We're looking for a highly organized, assertive, and data-driven Executive Assistant to join our Ortigas office. This is not a traditional admin role - you will be the operational right hand to our CEO, ensuring their time, priorities, and projects are managed with precision.

In this role, you'll combine advanced diary and inbox management with hands-on project coordination, working primarily in Zoho Projects to keep initiatives on track and risks under control. You'll be the central point of communication for our executives, liaising with internal and external stakeholders, and ensuring that every action is followed through.
This is a full-time, onsite role with a 5:30 AM to 2:30 PM shift, supporting our global operations.
What You'll Do
You'll be the kind of person who:
Executive Support
- Manage complex diaries for the CEO, prioritizing high-value activities
- Organize and maintain executive inboxes, filtering urgent matters and ensuring timely follow-up
- Coordinate travel arrangements, meetings, and events with minimal disruption to the schedule
- Prepare, review, and edit executive-level documents, reports, and presentations
Project Management
- Use Zoho Projects to monitor timelines, deliverables, and dependencies
- Track project progress, identify risks, and proactively recommend solutions
- Liaise across departments to ensure alignment and accountability for action items
Risk and Data Management
- Identify potential challenges early and propose mitigation strategies
- Maintain accurate records and data for reporting and decision-making purposes
- Support data-driven decision-making by providing timely updates and status reports
Stakeholder Communication
- Act as a primary point of contact for internal and external communications on behalf of the CEO
- Draft professional correspondence and manage follow-ups across multiple time zones
- Coordinate with global teams to ensure smooth information flow and task execution
Requirements
What You Bring
We're looking for someone with:
- 5+ years' experience as an Executive Assistant, Project Manager, or similar role supporting C-level executives
- Strong background in project management, preferably with Zoho Projects or similar platforms
- Proven ability to manage high-volume diaries and inboxes with precision
- Assertive, confident communicator with excellent English skills - both written and verbal
- Strong risk-awareness and problem-solving capabilities
- Highly organized, detail-oriented, and proactive in anticipating needs
- Experience in B2B or offshore staffing environments is a plus
