ROLE SUMMARY

Our client is seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide dedicated remote support to a key executive leader within the organization. In this role, you will serve as a trusted partner, managing day-to-day administrative tasks, optimizing calendar and email workflows, and ensuring smooth coordination across internal and external communications.

The ideal candidate is tech-savvy, professional, and excels in a fast-paced, remote environment. You must possess excellent judgment, the ability to prioritize competing demands, and a commitment to confidentiality and service excellence. This is an opportunity to work closely with an executive leader and contribute meaningfully to operational efficiency and strategic focus.

WORK SCHEDULE: 9:00 AM – 6:00 PM Eastern Daylight Time (9:00 PM – 6:00 AM Philippine Standard Time), follows Philippine holidays

POSITION TYPE: Full Time

WORK ARRANGEMENT: Remote

ESSENTIAL FUNCTIONS:

  • Perform the following executive support tasks:
  • Manage the executive leader's calendar, scheduling internal and external meetings, ensuring alignment with key priorities
  • Coordinate travel logistics, including flights, accommodations, and itineraries (if applicable)
  • Screen and manage emails, flagging priority items and drafting responses on behalf of the executive
  • Prepare and edit presentations, reports, meeting agendas, and other executive-level documents
  • Perform the following communication and coordination-related tasks:
  • Serve as the primary liaison between the executive leader and team members, partners, and clients
  • Coordinate meeting logistics, including Zoom/Google Meet scheduling, attendee invites, and pre-meeting materials
  • Take and distribute clear meeting notes, ensuring timely follow-up on action items
  • Perform the following project and task management duties:
  • Assist in tracking ongoing projects, timelines, and deliverables across multiple departments
  • Maintain task lists, follow-up workflows, and weekly reports to keep projects on track
  • Support execution of strategic initiatives by researching, compiling data, and organizing information for decision-making
  • Perform the following administrative operations tasks:
  • Organize and maintain digital filing systems and shared drives
  • Assist with invoice processing, expense tracking, and reimbursement submissions
  • Support onboarding or vendor management tasks related to the executive leader's team or function
  • Ensure confidentiality and discretion on the following tasks:
  • Handle sensitive information with the utmost discretion and professionalism
  • Maintain a high level of confidentiality across all communication and documentation

QUALIFICATIONS:

  • A bachelor's degree in the related field is preferred
  • 3+ years of experience as an Executive Assistant, Personal Assistant, or similar support role
  • Proven success supporting senior-level executives in a remote setting
  • Proficiency in Google Workspace (Calendar, Drive, Docs, Sheets) or Microsoft Office Suite
  • Familiarity with project management or productivity tools (e.g., Asana, Trello, Notion, Slack)
  • Exceptional organizational and time management skills
  • Strong written and verbal communication skills
  • High degree of professionalism, discretion, and attention to detail
  • Ability to work independently and take ownership of tasks with minimal supervision
  • Comfortable managing shifting priorities in a fast-paced environment
