Profile Requirements:

  • Strong written English and client service orientation
  • High attention to detail and task ownership
  • Proficiency in Microsoft Office and Salesforce
  • Familiarity with mortgage lending processes and compliance
  • Ability to work independently and manage competing priorities
  • Salesforce (CRM) and nCino
  • Microsoft Office (particularly Teams and Outlook)
  • Document management systems (e.g. SharePoint, OneDrive)

Core responsibilities:

  • Lead Qualification & CRM Support
  • Assist in vetting and qualifying inbound leads from advertising, online channels, and referrals.
  • Maintain accurate client records in Salesforce, including contact history and loan progress.
  • Monitor shared inboxes and triage client inquiries for timely follow-up.
  • Application & Documentation Support
  • Prepare and lodge client applications under guidance from Direct Sales Associates.
  • Ensure all supporting documents are complete and compliant with NCCP and AML/CTF standards.
  • Track outstanding items and follow up with clients to meet submission timelines.
  • Client Communication & Service
  • Draft client emails and follow-up messages post-meeting or post-settlement.
  • Support calendar scheduling for client calls and virtual meetings.
  • Assist with post-settlement servicing tasks such as loan increases or document updates.
  • Reporting & Process Improvement
  • Maintain task logs and contribute to continuous improvement initiatives.
  • Prepare weekly reports on lead conversion, application status, and SLA adherence.
  • Identify workflow bottlenecks and propose solutions.
