Job Summary:

The Admin and Executive Assistant provides comprehensive administrative and executive support to management, ensuring smooth day-to-day office operations. This role involves managing executive schedules, preparing reports, assisting in administrative tasks, and handling business-related documentation such as permits and licenses. The position requires strong organizational skills, attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities:

  • Provide administrative and executive support to management, including scheduling meetings, handling correspondence, and organizing travel arrangements.
  • Prepare, manage, and maintain reports, presentations, records, and other business documents.
  • Handle renewal and processing of business permits, licenses, and other regulatory requirements with government agencies.
  • Maintain an updated database and calendar of permit and license renewals to ensure compliance.
  • Assist in monitoring daily and weekly operational needs and coordinate with various departments.
  • Support sales, marketing, and warehouse operations when necessary.
  • Manage procurement, office supplies inventory, reimbursements, and other administrative logistics.
  • Ensure confidentiality and accuracy of company records and executive files.
  • Act as a liaison between executives, employees, clients, and external partners.
  • Perform general clerical duties such as filing, documentation, and other office support functions.

Qualifications:

  • Bachelor's Degree in Business Administration, Management, Office Administration, or any related field.
  • At least 1–3 years of work experience in administrative or executive assistant roles.
  • Experience in processing business permits, licenses, and government documents is required.
  • Strong understanding of local government and regulatory processes (e.g., business registration, renewal, and compliance).
  • Proficient in MS Office applications (Word, Excel, PowerPoint) and office management tools.
  • Excellent organizational, time management, and communication skills.
  • High level of discretion, professionalism, and attention to detail.
  • Ability to multi-task, work independently, and prioritize tasks under minimal supervision.
  • Background in warehouse operations or sales and marketing is an advantage.

Preferred Experience:

  • 1 year in administrative support, executive assistance, or business compliance roles.
  • Hands-on experience coordinating for business documentation.
