Job Summary

We are seeking a ServiceM8-Experienced Appointment Setter with an American accent to join our client's team. This role requires a confident communicator who can handle inbound and outbound calls, schedule appointments seamlessly through ServiceM8, and provide excellent customer service with clarity and professionalism. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment where client satisfaction and scheduling efficiency are top priorities.

Roles & Responsibilities

Appointment Setting & Client Communication:

  • Make outbound calls to leads and existing clients, presenting services clearly and persuasively.
  • Answer inbound calls and respond promptly to customer inquiries with professionalism and warmth.
  • Use ServiceM8 to schedule appointments, assign jobs, update client records, and ensure accurate job details.
  • Send confirmations, reminders, and follow-ups via phone, text, or email using ServiceM8.
  • Reschedule or adjust appointments as needed to optimize technician availability and client convenience.

ServiceM8 System Management:

  • Maintain accurate and up-to-date client information in ServiceM8.
  • Track job progress, update service notes, and ensure tasks are assigned correctly.
  • Generate reports from ServiceM8 to support operations and identify scheduling improvements.
  • Coordinate with field staff to ensure all scheduled jobs are communicated clearly and executed smoothly.

Customer Service & Support:

  • Provide a positive first impression to clients, acting as the voice of the company.
  • Resolve scheduling issues and customer concerns quickly and effectively.
  • Support the business owner and team with administrative follow-up to ensure customer satisfaction.

Non-Negotiables

  • Minimum of 3 years professional experience as an Appointment Setter, Scheduler, or Customer Support Specialist.
  • Hands-on experience with ServiceM8 (minimum 1 year).
  • Clear American accent with excellent spoken and written English.
  • Strong organizational skills with the ability to manage multiple calendars and appointments simultaneously.
  • Reliable internet connection, quiet workspace, and ability to work remotely with minimal supervision.

Preferred Qualifications

  • Experience working with service-based or trades businesses (plumbing, electrical, cleaning, etc.).
  • Familiarity with CRM tools and workflow automation.
  • Strong problem-solving skills and adaptability to shifting schedules.
  • Positive, professional, and customer-first attitude.

Goals & Timeline

1 Month: Learn company workflows, become fully comfortable with ServiceM8, and begin handling appointment setting independently.

3 Months: Take full ownership of inbound and outbound scheduling, consistently managing ServiceM8 with minimal oversight.

6 Months: Optimize scheduling processes, improve booking efficiency, and contribute to smoother team operations.

9 Months: Operate as a trusted, go-to support for the team, ensuring all appointments and communications run seamlessly.

KPIs & Targets

  • 90%+ successful booking rate from inbound and outbound calls within 3 months.
  • Maintain less than 5% reschedule/cancellation rate due to scheduling errors.
  • Respond to all inquiries (calls/messages) within company's required time frame (e.g., under 5 minutes).
  • Increase customer satisfaction scores related to booking and communication.
  • Maintain 100% accuracy in ServiceM8 job records and schedules.
