Job Summary
We are seeking a detail-oriented and proactive Administrative Assistant to provide comprehensive administrative and clerical support to ensure the efficient operation of the office. The ideal candidate will be highly organized, professional, and capable of handling multiple tasks while maintaining confidentiality and a high level of accuracy.
Key Responsibilities
- Manage and maintain schedules, appointments, and meetings for management and staff.
- Prepare, organize, and maintain documents, records, and reports.
- Handle incoming calls, emails, and correspondence in a professional and timely manner.
- Assist in the preparation of presentations, proposals, and other business documents.
- Coordinate office activities and operations to ensure efficiency and compliance with company policies.
- Maintain office supplies inventory and place orders when necessary.
- Provide support in basic accounting, billing, and expense reporting tasks.
- Assist with onboarding of new employees and maintaining HR-related records.
- Perform other related administrative duties as assigned.
Qualifications
- Bachelor's degree in Business Administration, Office Management, or related field (preferred but not required).
- Proven experience as an Administrative Assistant or in a similar role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- High attention to detail and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Work Environment
- Office-based with standard working hours on weekdays.
- One day duty at the operations office in Makati (schedule to be coordinated with management).
- May occasionally require overtime to meet deadlines.
