About the Role
The Administrative HR Assistant plays a vital role in supporting HR operations, ensuring smooth handling of employee records, attendance, and compliance processes. This position requires high confidentiality, strong organizational skills, and solid HR experience, as it supports both employees and management in maintaining accurate documentation and efficient communication across departments.Key Responsibilities
HR Administration & Documentation
- Maintain, organize, and update employee records and HR documents (contracts, memos, disciplinary actions, etc.).
- Prepare HR letters, notices, reports, and compliance forms as needed.
- Ensure data accuracy and confidentiality in all HR files, both physical and digital.
- Provide administrative support to HR operations and management.
Attendance & Timekeeping
- Monitor and verify employee attendance, schedule adherence, and log-in/out discrepancies through HR systems (e.g., Sprout).
- Process Certificates of Attendance and assist with attendance-related adjustments for payroll.
- Send payroll cut-off reminders and ensure all attendance concerns are addressed before processing.
Employee Support & Relations
- Respond to employee inquiries regarding HR policies, attendance, benefits, and leave filing.
- Coordinate with department heads and management regarding employee concerns, attendance, and compliance issues.
- Help maintain a positive work environment through consistent, professional communication.
Onboarding Coordination
- Work closely with the Recruitment Team to facilitate new hire onboarding.
- Ensure completion of employee information sheets, contracts, and document submissions.
- Assist in preparing onboarding materials and coordinating first-day requirements.
Compliance & HR Coordination
- Ensure all HR processes comply with DOLE and company standards.
- Liaise with third-party HR, management, or external agencies for compliance and documentation purposes.
- Support internal audits and maintain confidentiality of sensitive HR information at all times.
Administrative Support
- Handle general administrative and HR-related correspondence.
- Support special HR projects and ad-hoc tasks assigned by management.
Qualifications
- Bachelor's degree in Human Resources, Psychology, Business Administration, or related field.
- At least 2–3 years of solid experience in HR administration, attendance management, or employee relations.
- Strong understanding of Philippine labor laws and HR compliance.
- High attention to detail and ability to handle confidential information with integrity.
- Excellent communication (verbal and written) and organizational skills.
- Proficient in HR systems (Sprout, HRIS) and Microsoft Office tools.
Compensation & Work Setup
- Salary Range: ₱40,000 – ₱50,000 per month (based on experience)
- Location: Ortigas, Pasig City (Fully Onsite)
- Schedule: Full-time
- Reports to: Manager
