Position Overview

The HR / Admin Officer is responsible for providing end-to-end support in human resources, office administration, employee coordination, and policy implementation. This role ensures efficient HR operations, proper documentation, smooth office management, employee support, and compliance with labor laws and company policies. The HR / Admin Officer works closely with management and all departments to support daily HR functions, recruitment, employee relations, and administrative processes.


Key Responsibilities

1. Recruitment & Onboarding

  • Assist in the entire recruitment process: job posting, screening, scheduling interviews, and reference checks.
  • Prepare employment contracts, job offers, and onboarding documents.
  • Facilitate employee orientation and ensure new hires complete all required forms.
  • Coordinate with departments for onboarding schedules and workstation readiness.

2. HR Documentation & Records Management

  • Maintain updated employee 201 files, contracts, job descriptions, and HR databases.
  • Track personnel movements such as promotions, transfers, resignations, and contract renewals.
  • Prepare HR memos, notices, and reports as needed.
  • Ensure all HR files are properly stored, secured, and confidential.

3. Timekeeping, Attendance & Payroll Support

  • Monitor daily attendance, leaves, overtime, and tardiness using biometric or timekeeping systems.
  • Validate timesheets and prepare attendance summaries for payroll processing.
  • Assist in payroll-related concerns such as adjustments, government contributions, and deductions.
  • Coordinate with Finance for timely payroll preparation.

4. Employee Relations & Engagement

  • Assist in addressing employee concerns, inquiries, and workplace issues.
  • Facilitate employee engagement programs, celebrations, and team-building activities.
  • Support the implementation of HR policies, code of conduct, and disciplinary procedures.
  • Maintain harmonious working relationships and support a positive company culture.

5. Government Compliance & Benefits Administration

  • Process and update employee benefits with SSS, PhilHealth, Pag-IBIG, BIR, etc.
  • Prepare government forms, loan applications, and contribution reports.
  • Ensure compliance with labor laws, DOLE requirements, and company standards.
  • Assist in preparing documents needed for audits or external inspections.

6. Office Administration

  • Oversee office supplies, inventory, and procurement of equipment/materials.
  • Coordinate with suppliers, service providers, and building administration.
  • Assist in handling office maintenance, repairs, utilities, and safety guidelines.
  • Ensure office cleanliness, orderliness, and a professional working environment.

7. Administrative Support

  • Prepare letters, reports, and correspondence for management.
  • Schedule meetings, manage calendars, book venues, and coordinate logistics.
  • Support travel arrangements, company events, and company-wide announcements.
  • Monitor and manage company assets, IDs, uniforms, gate pass, building permit
  • Arrange and assist in logistics or shipments
  • Prepare and write Support Customer Agreements
  • Arrange and monitor filing systems of project contracts (hard copies and soft copies)

8. Policy Implementation & HR Compliance

  • Help enforce HR policies, procedures, and company guidelines.
  • Support disciplinary actions: issuance of NTE, documentation, and case handling.
  • Assist in updating HR manuals, company policies, and employee handbooks.
  • Ensure alignment with labor standards and proper documentation of HR actions.

9. Special Projects

  • Support management in implementing new HR systems, and performance evaluations,
  • Participate in process improvement initiatives to streamline HR and admin functions.
  • Assist in any corporate projects requiring HR or administrative involvement.

Qualifications & Skill Requirements

Educational Background

  • Bachelor's degree in Psychology, Human Resources Management, Business Administration, or related fields.

Experience

  • At least 1–3 years' experience in HR, Admin, or related support roles.
  • Experience in recruitment, timekeeping, or HR routines is a strong advantage.

Technical Skills

  • Knowledge of HR processes (recruitment, onboarding, payroll support, employee relations).
  • Familiarity with DOLE regulations and labor standards.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint).
  • Experience with HRIS or timekeeping systems is a plus.

Compensation and Benefits:

· Salary package: Php 25,000 (min: 25K - 30K depending on the qualifications, skills, experience)
