Summary

We are looking for a proactive and detail-oriented Client Project Specialist to oversee the coordination and execution of client-facing projects. This role involves close collaboration with internal teams and clients to manage schedules, track deliverables, and ensure successful project outcomes. You will serve as the primary contact for clients during project engagements, helping to shape and improve our project management processes. If you excel in communication, organization, and problem-solving, this role is a great fit.

Key Responsibilities

  • Coordinate project logistics with Project Managers and stakeholders.
  • Develop and maintain project timelines, goals, and documentation using ConnectWise Manage.
  • Facilitate project planning, including scope definition, risk assessment, and milestone tracking.
  • Organize and participate in stakeholder meetings; document decisions and action items.
  • Maintain consistent communication with clients to manage expectations and resolve issues.
  • Support Team Leads in meeting project deadlines and deliverables.
  • Ensure adherence to project frameworks and maintain accurate documentation.
  • Manage project calendars and monitor progress against objectives.
  • Understand project scopes, timelines, and budgets across the project catalog.
  • Assist in refining escalation and review processes throughout the project lifecycle.
  • Set up and manage projects in ConnectWise, including phases, tickets, and templates.
  • Verify completion of project objectives and financial accuracy before closing projects.
  • Perform other related duties as assigned.

Qualifications

  • Minimum 2 years of experience in Project Coordination, Management, or Administration.
  • Associate's degree or higher.
  • Background in IT Managed Services, preferably in a support role.
  • Familiarity with ConnectWise, Kaseya, or similar MSP tools.
  • Proficiency in Microsoft Office 365, Azure, and other cloud services.
  • Willingness to work flexible hours, including occasional tasks outside business hours.
  • Strong understanding of IT services and project lifecycle workflows.
  • Excellent verbal, written, and presentation skills.
  • Highly organized, adaptable, and detail-oriented.
  • Strong interpersonal skills with a customer-focused mindset.
  • Ability to work independently and collaboratively within a team.
  • Experience with Microsoft Office tools (Outlook, Word, Excel, PowerPoint).
  • Basic knowledge of project management methodologies and budgeting concepts.
  • Ability to interpret Project Scope Documents and translate them into actionable plans.
