Job Description – Admin Manager

Position Title:

Administrative Manager

Location:

Clark, Pampanga / Sta. Cruz, Zambales (as required by company operations)

Reports To:

General Manager / Managing Director

Job Summary:

The Administrative Manager is responsible for overseeing the overall administrative and support functions of the company. This includes supervising HR and office staff, ensuring compliance with government regulations, managing company permits and documentation, and providing essential support to the management team to ensure smooth and efficient operations, especially in mining operations.

Key Responsibilities:

  • Administrative Management
  • Oversee day-to-day administrative operations of the company.
  • Supervise secretaries, drivers, utility staff, and other admin personnel.
  • Ensure office supplies, equipment, and facilities are properly maintained.
  • Human Resources & Compliance
  • Assist in recruitment, training, and evaluation of staff.
  • Implement company policies and ensure compliance with Philippine labor laws (DOLE, SSS, PhilHealth, Pag-IBIG, etc.).
  • Maintain accurate records of employee attendance, leave, and benefits.
  • Government & Regulatory Liaison
  • Secure and renew business permits, licenses, and regulatory requirements with LGU, BIR, DENR, and other government offices.
  • Ensure timely compliance with health, safety, and labor regulations.
  • Documentation & Records
  • Manage filing, records-keeping, and safekeeping of company documents, contracts, and correspondences.
  • Prepare letters, reports, and communications for management.
  • Finance & Budget Support
  • Assist management in preparing budgets, payroll, and expense monitoring.
  • Ensure timely processing of reimbursements, allowances, and employee claims.
  • Coordination & Communication
  • Act as liaison between management and employees to maintain good communication.
  • Coordinate with suppliers, contractors, and stakeholders to support company operations.

Qualifications:

  • Bachelor's degree in business administration, Management, HR, or related field (MBA is an advantage).
  • Minimum of 3–5 years' experience in administrative management, preferably in mining, construction, or industrial operations.
  • Strong knowledge of HR, labor laws, permits, and regulatory compliance.
  • Proficient in MS Office and familiar with office management systems.
  • Excellent organizational, leadership, and communication skills.
  • High integrity, confidentiality, and ability to work under pressure.
