Work Schedule: 8:00 AM - 5:00 PM MST / 11:00 PM – 8:00 AM PHT, Mon-Fri
This role is ideal for someone who has a solid accounting foundation and is comfortable managing a variety of admin-related tasks. You'll work closely with leadership and internal teams to support finance operations, procurement, and light HR coordination. Prior experience in an MSP environment is highly preferred as it helps navigate the pace and tools, we use daily.
Note: The HR responsibilities in this role are purely support-based, as our HR is outsourced. Tasks will involve coordination, documentation, and being a point-of-contact – but not handling end-to-end HR processes.
About the JobAccounting & Finance Support
- Generate and send client invoices through Autotask and QuickBooks Online
Track all vendor service bills (software, licensing, subscriptions, and other recurring charges)
Ensure all billable vendor services are accurately rebilled to customers in a timely manner
- Reconcile vendor invoices against customer billing records to prevent missed charges
- Track and manage accounts payable and receivable
- Assist with reconciliation and reporting
- Work with vendors regarding billing and payments
- Maintain accurate financial records and documentation
- Monitor recurring business expenses to help identify cost-saving opportunities
- Assist with tracking sales commissions
Procurement & Vendor Coordination
- Create and send purchase orders to vendors
- Track orders and follow up on delivery updates
- Maintain procurement records
Admin & Light HR Support
- Assist with onboarding/offboarding tasks in ADP
- Coordinate benefits enrollment and employee info updates (in collaboration with outsourced HR)
Be the internal point of contact for any ADP-related issues
Provide general admin support to internal teams and leadership
- Monitor shared inboxes and assist with documentation, scheduling, or light comms when needed
Personal Finance Assistance (Owner)
- Track and categorize personal and household expenses
- Ensure timely payment of bills and subscriptions
- Maintain organized records of personal financial transactions
- Reconciling personal accounts and credit cards
- Prepare simple monthly summaries of personal spending for review
- Assist with expense reimbursements and documentation as needed
- 2+ years of experience in an accounting/admin support role
- Experience working within an MSP or IT services environment is strongly preferred
- Proficiency with QuickBooks Online is a must
- Advanced Microsoft Excel skills are helpful
- Strong attention to detail and ability to manage multiple tasks
- Professionalism, reliability, and discretion when handling confidential info
- Excellent written and verbal communication skills
Nice-to-have Skills and Qualifications:
- Basic understanding of IT procurement
- Familiarity with ADP or similar HR platforms
- Prior experience working with remote teams
- Familiarity with Autotask is a plus
